Purpose & Overall Relevance for the Organization: To provide high-quality executive support to the Country Lead East Europe and contribute to the effectiveness and execution of the East Leadership Team. The role combines Executive Assistant capabilities with leadership coordination, executive information management, stakeholder management and project/PMO support.
Key Responsibilities
- Executive Support & Priority Management: Manage the Country Lead’s calendar, meetings, travel, expenses and key stakeholder interactions. Prepare the Country Lead for meetings, visits and priorities, anticipate deadlines and conflicts, and proactively propose solutions.
- Leadership Governance, Action & Decision Tracking: Coordinate the East Leadership Team / FLM operating rhythm, translate discussions into decisions and actions, track owners and deadlines, follow up on commitments, and support workshops, offsites and senior management sessions.
- Executive Information Management: Maintain visibility on key business priorities, projects, decisions and actions through executive trackers and governance tools. Consolidate functional inputs into presentations, reports, dashboards, briefings and summaries.
- Senior Stakeholder Management & Leadership Visits: Coordinate communication and deliverables among senior stakeholders and lead end-to-end coordination of leadership visits, including agendas, briefings, logistics, meetings and related events.
- East Strategic Projects / PMO Support: Support strategic, cross-functional and internal communications projects. Maintain project plans, timelines, milestones, action trackers and governance routines; monitor risks, dependencies, budgets and deliverables.
Authorities
Direct reporting line: Country Lead East Europe. Works closely with the East Leadership Team / FLM, Business Development, Internal Communications and other cross-functional stakeholders. Acts on behalf of the Country Lead on agreed coordination, follow-up and administrative matters.

Minimum Qualifications
- 3+ years of experience in Executive Assistant, Executive Business Support, Project Coordinator, PMO Coordinator or similar roles.
- Experience supporting senior executives and managing complex stakeholder interactions.
- Experience in project coordination and cross-functional environments.
- Bachelor’s degree in a related field is a plus.
- Advanced Microsoft Office knowledge, particularly PowerPoint, Excel, Outlook, Word and Teams.
- Active category B driving licence.
- Fluent English; German is a plus.
