Job Overview
This role provides administrative and secretarial support to the PDC Manager, Supervisors and personnel.
Responsibilities
- Provide administrative support to the PDC Site Leader and Team Leaders, including preparing correspondence, screening telephone calls, greeting visitors and maintaining records.
- Process material requests, service requests, purchase orders, receipts and vendor invoices according to company policies and procedures.
- Compile and verify procard records in the PVS system.
- Prepare and submit contracts and addendums to subcontractors and the HO Purchasing department for approval.
- Administer the PDC petty cash fund.
- Maintain subcontractor files in compliance with ISO standards.
- Assist with Human Resources policies and procedures, including screening applications, informing new employees about benefits and company policies, and maintaining personnel records, disability claims and workers’ compensation claims.
- Maintain time and attendance records for PDC employees.
- Stock and reorder office and lunchroom supplies and identify competitive suppliers.
- Obtain proposals for maintenance and rental services, initiate procurement and coordinate repairs or maintenance.
- Monitor the quality and service of completed repairs and maintenance.
- Maintain fixed-asset inventory records and distribute mail.
- Verify monthly budget comparison statements and analyze discrepancies.
Qualifications
- High school diploma, GED or equivalent work experience.
- PDC courses in various MBUSA office software.
- Three to five years of office and/or administrative experience.
- Three to six months of experience with purchasing policies and procedures systems.
- Knowledge of administrative procedures, business practices, Human Resources principles and related computer systems.
- Good administrative and communication skills, knowledge of PDC operations and applicable safety standards, ability to handle confidential matters, and strong organizational skills.
Additional Information
The role requires one to three years of total experience in administration, business and Human Resources-related knowledge areas. Job family competencies include adaptability, contributing to team success, follow-up, and planning and organizing.
