Job Overview
The Senior Analyst, VPC Admin supports day-to-day operations at the Vehicle Processing Center by owning core administrative processes, including purchase requisitions, invoice submission and payment, timekeeping and PTO coordination, HR support, and facilities budget tracking.
Responsibilities
- Administrative & Site Coordination (30%): Serve as the first point of contact for administrative needs; coordinate supplies, meetings, visitors, documents, site communications, reports, and badge access.
- Purchase Requisitions, Invoice Processing & Budget Support (40%): Create and track purchase requisitions and purchase orders, reconcile invoice discrepancies, maintain vendor documentation, track facility budgets, prepare monthly summaries, and support accruals.
- Timekeeping, PTO & HR Coordination (30%): Manage employee time and time-off requests, audit exceptions before payroll cutoffs, and coordinate onboarding, offboarding, badge access, training records, policy acknowledgements, uniform and PPE distribution, and personnel files.
Qualifications
- Bachelor’s degree or equivalent experience.
- At least 2 years of experience in administration, accounts payable or procurement support, payroll or timekeeping, or similar operations support.
- Experience with an ERP such as SAP, Oracle, or Microsoft Dynamics and timekeeping or payroll systems.
- Proficiency in Microsoft 365, including Excel, Outlook, Teams, and PowerPoint.
- Strong organizational, analytical, prioritization, communication, and attention-to-detail skills.
- Ability to handle sensitive information confidentially.
Experience in a vehicle processing center, distribution center, or automotive manufacturing environment is preferred. Knowledge of PR/PO workflows, basic accruals, vendor payment processing, budget tracking, variance analysis, and reporting is helpful.
