The Executive Assistant to CMF provides comprehensive support to the Head of CMF Americas and direct reports by managing office operations. The role requires anticipation, critical thinking, problem-solving, professionalism, organization, time management and confidentiality.

Key Responsibilities

  • Provide sophisticated calendar management for the Head of CMF Americas and direct reports.
  • Act as a liaison and support the GMD CMF Executive Committee and senior personnel.
  • Arrange logistics for executive committee meetings and events, including scheduling meetings, drafting agendas and distributing presentation materials.
  • Complete administrative tasks including special projects, complex documents, reports, presentations, correspondence, contact lists, travel arrangements and expense reports.
  • Coordinate executive team meetings, seminars, staff meetings and events.
  • Manage office services, policies, procedures, vendors, equipment, services and supplies.
  • Manage information systems operations, including hardware, software, desktop support, internal communication and systems planning.
  • Provide hospitality to guests and help create a welcoming environment.
  • Maintain confidentiality and protect operational information.

Management and Reporting

Reports to the Head of CMF Americas and GMD COO.

Legal, Regulatory and Compliance Responsibilities

Comply with applicable legal, regulatory and internal compliance requirements, including financial security, financial crime and fraud prevention obligations. Maintain appropriate knowledge and complete mandatory training.

Qualifications and Skills

  • Required: Proven experience as an executive assistant or in relevant administrative support.
  • Experience dealing with a broad range of business and support-function stakeholders.
  • Written and verbal communication, organization, time management, scheduling, reporting, presentation, supply management and travel logistics skills.
  • Microsoft Office and office equipment maintenance skills.
  • Desired: Bachelor's degree and proficiency in French.

Employment Details

Permanent contract in New York, United States of America. Salary: $85,000 to $110,000.
