Context
You would join a Centre of Excellence delivering AI solutions for a Romanian public-sector client, working within the client's dedicated data and AI environment. The work follows a structured lifecycle, from data access and feasibility assessment through solution build, pilot deployment and handover for scale-up. Multiple use cases are typically in progress at the same time, each at a different stage and involving different institutional stakeholders.
Main Mission
You keep the Centre running and the client informed. The role combines operational coordination and stakeholder management.
- Maintain visibility of every use case, open action and dependency.
- Act as the day-to-day contact for institutional counterparts.
- Ensure decisions happen on time, with the right people involved, and that outcomes are communicated promptly.
What You'll Own?
Keep the work visible
- Maintain the action log across every active use case, including ownership and due dates.
- Track each use case against its schedule and flag slippage before a date is missed.
- Run the weekly pipeline review, covering blockers and actions.
- Maintain the risk and issue register and ensure risks have owners.
Keep stakeholders aligned
- Act as the standing point of contact for institutional business owners and their teams.
- Book and convene working sessions, gate boards and deep-dives.
- Confirm attendance and circulate required information in advance.
- Chase late inputs, documents and sign-offs.
- Call counterparts when something needs unblocking and determine which conversations require a call.
Manage risks and escalations
- Notify affected business owners and sponsors when dates move, including the reason and revised date.
- Escalate on a defined ladder rather than waiting for a steering meeting.
- Produce the monthly progress update and quarterly steering pack.
Keep the Centre coordinated
- Manage the meeting cadence so the team has one weekly review rather than overlapping meetings.
- Coordinate onboarding as the team grows and the draw-down of surge capacity.
- Track dependencies between the Centre and platform, governance and scaling functions.
What You'll Bring?
- Several years running delivery in software projects, ideally where the work was technical and the client was institutional.
- Fluent Romanian and advanced English.
- Persistence in driving actions to closure while maintaining strong stakeholder relationships.
- Comfort raising problems early, including when your own team is late.
- Working knowledge of a delivery tracking tool such as Jira and enough Excel to maintain a live plan.
- Judgement about what to escalate and what to absorb.
- Nice to have: public sector, defence or another environment with formal hierarchy and slow approvals.
- Familiarity with AI or data delivery, ideally including shipping AI solutions to production.
