Purpose & Overall Relevance for the Organization

The Order Fulfilment team’s mission is to ensure the transparency and reliability of the order book, optimize stock availability, ensure effective allocation within agreed timelines and parameters, and manage planning from a logistics perspective so that the order book is delivered in full and on time.

Key Responsibilities

Team Development

  • Develop team members’ operational and technical capabilities to accelerate transformation and provide best-in-class service for Order Book Fulfillment stakeholders.

Order Book Management

  • Maintain and execute the order book according to customer expectations, ensuring timely delivery of campaigns and launches.
  • Oversee stock availability and order fulfillment for daily business operations, including allocation, phasing, and redating.
  • Monitor order book accuracy and cleansing as required, coordinating closely with the sales operations team.
  • Coordinate requirements collection and set up system rules for Value Added Services.

Availability Management

  • Track and prioritize seasonal orders in cooperation with PSI and Inbound teams.
  • Establish and track Hard Launch processes, identifying critical supply chain constraints and actions to address them.
  • Optimize demand-supply dynamics and financial-inventory targets, ensuring efficiency and profitability.
  • Oversee inventory activities such as virtual stock transfers and physical inventory movements in SAP.
  • Manage stock category movement to optimize inventory for sales.
  • Monitor and manage QI/blocked stock status and value.

RFC Management

  • Collaborate with Sales and Finance teams on budget achievement discussions to support channel financial targets through active monitoring, expectation management, and aligned actions.
  • Ensure the integrity and transparency of the order book to contribute to RFC target fulfillment.

Allocation

  • Maintain and update outbound lead times and calendars quarterly to ensure accurate delivery plans and calculations.
  • Allocate stock to orders using SAP and other control systems through overnight batch runs and ad hoc requests.

Delivery Note Management

  • Collaborate with channels to manage delivery note creation and execution, ensuring goods delivery adheres to service level agreements.

Reporting

  • Own local COTA/OTIF reporting, understand variance causes, and identify improvement actions through root cause analysis follow-ups.
  • Produce order book-related reports to ensure transparency of on-time delivery projections.
  • Produce operational reporting for stakeholders, including ad hoc analysis.

Projects and Other Responsibilities

  • Participate in SAP workshops, upgrades, go-lives, and regression testing within the Order Fulfillment area when required.
  • Identify critical supply chain constraints and determine actions to overcome supply problems involving critical products.
  • Participate in cross-functional S&OP meetings with Planning, Purchasing, Sales, Finance, and Brand teams.

Key Relationships

Customer Service, Wholesale, DTC, EM SCM, PSI, Brand, Master Data, Marketing Operations, Demand Planning, Logistics Providers, and Finance.

Knowledge, Skills and Abilities

  • Advanced Excel and PowerPoint skills.
  • SAP knowledge.
  • Power BI.
  • Ability to motivate and lead a complex team.
  • Excellent knowledge of overall supply chain mechanics and the flow of goods from sourcing to customer.
  • Analytical and process thinking.
  • Ability to meet critical deadlines through effective planning and organization.
  • Ability to challenge existing ways of working.
  • Fluent English with excellent written, oral, and communication skills.

Requisite Education and Experience

  • University degree or equivalent education required.
  • Minimum of 8 years of work experience, preferably in Supply Chain Management.
  • Minimum of 2 years’ experience managing people.
