Tasks

Inbound Management (Air Freight / Road Transport)

  • Ensure air and road transportation numbers, ASN and confirmation data from vendors are transmitted before shipment arrival and delivered to the service provider operator for customs and forwarding handling.
  • Create ASN manually when automatic data transmission fails.
  • Match sea shipment invoice numbers against Avis shipping details from vendors.
  • Monitor timely compilation and processing of shipping details for customs declaration.
  • Sort and organise sea freight invoices against Avis for service provider declaration and the Accounts Department.

Outbound Management

  • Liaise with customers on transportation-related issues and coordinate with stakeholders.
  • Send outbound flight delay notifications to customers.
  • Rectify outbound documentation errors.
  • Coordinate cargo pick-up timing and shipment release information.
  • Report outstanding cargo and abnormalities to team leads.

Freight Discrepancy Report and Freight Cost Monitoring

  • Check and reduce discrepancies in freight estimation.
  • Process debit and credit notes for customers and Accounts.
  • Prepare supporting invoice documents.

Cost Settlement and Management

  • Escalate cost settlement discrepancies.
  • Send e-invoices to service providers and customers.
  • Prepare proforma invoices and customer invoices.

Certificate of Origin and Letter of Credit Shipments

  • Support customs and transportation team leads with cargo inspections, certification and CIPL transport documentation.
  • Support escalated shipment bookings and maintain document archive tracking records.

Customer Requirements, Queries and Communication

  • Respond to customer transport queries, feedback and special requirements within timelines.
  • Meet standard KPIs while maintaining compliance.
  • Communicate operational announcements and public holiday planning to relevant stakeholders.

Reporting and Analysis

  • Compile and verify transport reports.
  • Support transportation tenders and departmental projects through data analysis.
  • Maintain records and files, including customer lists, invoices and shipment documentation.

Qualifications

Education: Diploma in Business, Supply Chain Management, Logistics or a related discipline.

Experience: 1–2 years of related experience in supply chain, transportation or logistics; aftersales or parts logistics; and air and road transport operations.

Soft skills: Excellent communication and interpersonal skills, with strong written and verbal English.

Specific knowledge: Knowledge of dangerous goods transport laws, regulations and guidelines for air and road transport, cross-border transport and Free Trade Zone operations. SAP knowledge in TM, ECC, CRM or SCM is an advantage.
