Purpose of the Job
Responsible for managing office administration, facilities, travel coordination, employee support services, and visa compliance for foreign employees, ensuring business continuity, operational efficiency, and a safe, well-maintained working environment that meets business and employee needs.
Responsibilities
- Office Administration & Facilities Management: Oversee daily office operations and ensure smooth administration of Head Office facilities.
- Manage service providers for security, cleaning, maintenance, catering, pest control, and other workplace services.
- Ensure office equipment, utilities, furniture, and infrastructure are properly maintained and operational.
- Coordinate office renovations, repairs, and workplace improvement projects.
- Maintain office supplies, pantry items, stationery, and other workplace resources.
- Travel, Accommodation & Expatriate Support: Arrange domestic and international travel, accommodation, and transportation for employees, Management Team members, expatriates, and visitors.
- Support visa applications, work permits, MIC registrations, and related immigration documentation.
- Coordinate housing arrangements, lease agreements, and relocation support for expatriates and short-term assignees (STAs).
- Administration Support & Vendor Coordination: Provide administrative support to Management Team members and business functions as required.
- Manage office petty cash and ensure timely reconciliation and reporting.
- Coordinate vendor selection, quotations, contracts, service agreements, and invoice processing.
- Maintain strong relationships with building management, travel agencies, fleet suppliers, and other service providers.
- Documentation, Procurement & Reporting: Maintain administrative records, contracts, licenses, agreements, and supplier documentation.
- Prepare reports related to office operations, fleet management, travel expenses, and facilities management.
- Process Purchase Requisitions (PRs), Purchase Orders (POs), Goods Receipts (GRs), and related procurement transactions in company systems.
- Coordinate with Procurement, Finance, and vendors to ensure timely purchasing, invoice processing, and payment completion.
- Maintain accurate records of procurement documents, service contracts, and vendor agreements.
Requirements
- Bachelor's degree, preferably with a Business Administration background.
- Minimum 3 years of relevant experience in similar roles.
- Communication and influencing skills, in person and in writing.
- Analytical and problem-solving skills.
- Decision-making ability.
- Ability to lead and manage teams and projects.
- Team-working skills.
- Attention to detail and the ability to see the implications for the bigger picture.
- Customer service and empathy.

- Good knowledge of Microsoft Office tools.
- Myanmar language is a must.
- Fluency in English, both verbal and written, is required.
